The Community Association for West Hampstead (CAWH), established in May 2010, aims to comply with the new General Data Protection Regulations (GDPR) coming into effect on 25th May 2018. Accordingly, we aim in this privacy statement to provide clarity and transparency as to our purpose for collection, storage, retention and use of any personal contact data of individuals that we may hold.
CAWH has been and remains committed to protect the information we hold about users, beneficiaries, members, donors and customers.
Our commitment is that we will treat personal information with the utmost care and we will not share details with third parties unless required by law. We never share information with third parties for marketing purposes.
What information we hold
CAWH holds personal information about its users, beneficiaries, members, donors and customers. The following information is held:
- name and email address of individuals who have signed up to receive our newsletter and give their contact details for the purpose of being informed of the work and activities we do
- address, contact details, DOB, as well as preferred activities for members of the Association and/or take part in the different activities organised by CAWH.
Reasons we collect this information
- In the case of members, additional information is collected, such as address, age, gender, and activities of interest. This is essential to fulfil our legal duties toward members such as keeping them informed about our Annual General Meeting. A new membership form has been produced which includes an active opt-in preference for members to receive newsletters and information about CAWH activities and events.
- In the case of beneficiaries taking part in our funded programmes, we may hold additional information, such as age, gender and interests, to ensure that our two main projects – one for children and young people and the other for older people, fulfil their obligations towards their audiences. For children and young people under the age of 14, parents must explicitly provide permission for us to collect information.
Except in the cases of our newsletter mailing list, which is held by MailChimp, and the case of online donors, whose data is held by Localgiving, we hold the names and essential contact details on our premises. We never pass personal information of the above persons to third parties.
The only case where CAWH provides personal information directly to third parties (name, address and other contact details, DOB and position in the organisation) is in regard to members of staff and trustees, and only for the purpose to fulfil its obligations. For example, details of staff are passed to our payroll company, and details of directors and trustees are submitted to Charity Commission and Companies House.
People’s right to access their data and information to be erased.
Users, beneficiaries, members, donors and customers, have the right to request details of the information we hold about them, as well as the right to request that we delete whatever information we hold. In such a case we will do so promptly.
Individuals can request that their details are amended or removed by contacting CAWH via our website (www.cawh.org.uk), e-mailing email@example.com or by post at any time. Our address is 17 Dornfell Street, London NW6 1QN. Individuals can also remove their contact details by “unsubscribing” when they receive the newsletter. CAWH will not pass any personal data to a third party, and will comply with GDPR procedures in notifying our members in the event of a data breach.
The data that beneficiaries of our programmes and users of the Centre provide us with is processed by different members of staff, for example depending on whether they participate in one of the specific programmes for children or older people, or whether they become a new member, or a new donor online, or sign up for the newsletter. The Association is the data controller and all users have the right to request access data and to rectification or erasure – the ‘right to be forgotten’.
